Setting up PMZ
Five steps, in the order the work happens. Each one supplies what the next needs, so working down the list is the fastest way through. Nothing here is locked — you can price a job at any time, finished or not.
Say who works here and what each person is allowed to see.
- •Still needs your company on file — your company's legal name, its street address, its city, its state, its ZIP or postal code, a phone number and an email address
- •Still needs the people who will use PMZ — name, title, phone, email, and what each one may see
Work off your profit and loss: what the company costs to run for a year, and the revenue you plan to do against it.

- •Still needs where those figures came from, in your own words (“2025 P&L review”)
Before PMZ can tell you the truth about a job, your books have to be telling you the truth about the year.
Send your P&L for the last two years plus the current year. We check that cost of goods and overhead aren’t mixed together, establish a true overhead number for what it costs to run your company for a year, and show you where your revenue is actually generated so we can trend a target.
All of this happens outside your accounting program, so the keeper of your books won’t cringe.
Go straight to your overhead number and where it came from.
Name the kinds of work you sell, and set the margin each one has to hit at each job size — above the overhead percentage your budget just worked out.
